Litigation Administrative Assistant

Location: Downtown San Diego, CA
Practice Area: Commercial Business Defense - Civil Litigation
Salary Range: $70,000 - $95,000 annually + benefits
Schedule: Full-time (40 hours/week) | Monday-Friday, 8:30 AM - 5:00 PM (30-minute lunch)

About the Role

An Am Law 100 firm is seeking an experienced Litigation Administrative Assistant to join our collaborative and high-performing team in our Downtown San Diego office. This role is ideal for a detail-oriented professional with strong litigation experience who thrives in a fast-paced legal environment.

You will play a critical role in supporting attorneys and paralegals across complex commercial, civil, and business defense litigation matters, providing both high-level administrative and legal support.

Key Responsibilities

  • Manage attorney calendars, including court deadlines, hearings, and client meetings
  • Coordinate travel arrangements and process monthly expense reports
  • Prepare, revise, and finalize legal documents, including correspondence and pleadings
  • Perform electronic filing (e-filing) in State and Federal courts
  • Schedule depositions, mediations, and client meetings
  • Communicate professionally with clients, opposing counsel, and court personnel
  • Assist attorneys throughout all phases of litigation, including trial preparation and attendance
  • Conduct conflict checks and assist with opening new client matters
  • Maintain and organize electronic case files and document management systems
  • Support billing processes, including invoice preparation and time entry coordination
  • Maintain and update client and contact information
  • Handle additional administrative and clerical tasks as needed

Qualifications

  • Minimum 4+ years of recent litigation experience in a law firm environment
  • Strong experience with State and Federal e-filing (required)
  • Background supporting commercial, civil, or business defense litigation
  • Excellent writing, editing, and communication skills
  • Proven ability to manage multiple priorities under tight deadlines
  • Highly organized, detail-oriented, and proactive
  • Strong collaboration skills with attorneys, paralegals, and administrative staff
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Experience with document management, docketing systems, and billing/time entry software preferred
